Integrated OCR technology

Built-in Optical Character Recognition (OCR) converts scanned documents into searchable PDFs or editable formats. Supporting more than 130 languages, it allows users to quickly search, copy, and reuse content, accelerating everyday business tasks.

Highly compressed & encrypted PDFs

With IRIS iHQC™ technology, PDFs can be compressed to less than 5% of their original size. This reduces network traffic and storage requirements. For sensitive data, AES encryption and password protection maintain compliance with security policies.

Flexible document distribution

Users can choose personalized scan workflows on any supported device and securely route documents to a variety of destinations. They can send files to multiple locations, specific folders, or previously used destinations, ideal for recurring scan tasks.

Scan to SharePoint Online

Microsoft SharePoint Online is a central platform for managing, indexing, and sharing business documents. When paired with uniFLOW Online, organizations gain a streamlined workflow for capturing, indexing, and storing content.

The process is simple:
  1. Scan the document at the device
  2. Index the file at the device or at the desktop
  3. Store the finalized document directly in SharePoint Online

Administrators can configure content types, such as invoices, shipping lists, or contracts, which automatically adjust the required metadata fields. Users can enter metadata directly on the device, where it’s validated for accuracy.

Indexing can also be completed through the uniFLOW Online Scan Center, ensuring consistent classification whether done at the device or at the desk.

Scan to Google Drive™

uniFLOW Online enables secure, effortless scanning to Google Drive, making it easy for teams to share documents internally or with clients

Scan to a local network folder

Many organizations still rely on on-premises DMS platforms and shared network drives. uniFLOW Online supports hybrid environments by securely delivering scanned files from the cloud into local network folders, without altering existing infrastructure.

The Local Server Agent transfers documents and metadata to any designated folder or hot folder, where the DMS can automatically pick them up for processing. Custom metadata templates ensure documents meet system-specific requirements and reduce manual effort.

Scan to email

Users can send documents to one or more predefined email addresses, perfect for shared mailboxes like invoices@company.com. Sender identification ensures correct allocation.

Scan to any email address

uniFLOW Online also supports scanning to any email address. Users can select internal contacts or choose from their five most recently used addresses. Administrators may restrict allowed domains for compliance. Invalid addresses trigger an immediate validation error to prevent misrouted documents

Scan to the desktop PC

A frequently requested workflow, Scan to Desktop delivers files straight into a user's personal uniFLOW Online Scans folder. The uniFLOW SmartClient creates this folder during the first scan and ensures all future scans are delivered consistently. Users receive a Windows notification when new documents arrive, keeping files accessible and ready for immediate use.
