A successful print management project is about more than technology; it’s about making life easier for end users. That’s a lesson demonstrated perfectly by SAM School Group, which recently completed its transition to uniFLOW Online. SAM School Group is a large Flemish school association in Belgium that operates 19 primary schools, 7 secondary schools, and other educational institutions in provinces such as Limburg and Antwerp.
While the implementation itself was successful, the school’s IT team saw an opportunity to go one step further. Their goal was to ensure that both existing and new users could easily find the information they needed when using their Canon multifunction printers (MFPs).
Supporting users at the point of need
To simplify the user experience, the IT team developed a dedicated support page and made it accessible directly from the MFP screen via a QR code. Users can simply scan the code with their smartphone to access guides, instructions, and support information whenever they need it.

This easy-to-use solution delivers several benefits:
- Faster access to support information.
- Fewer routine helpdesk requests.
- Improved user confidence and satisfaction.
Most importantly, support is available exactly where users need it: at the device itself.
Turning the MFP screen into a communication platform
The team didn't stop there. Using creative screen designs, they transformed the MFP display into a communication channel. Customized layouts combine school branding, support resources, and QR codes that link to relevant documentation, creating a consistent and intuitive user experience.
By updating the screens throughout the year, important messages can be shared easily. For example, ahead of the summer holiday period, the team developed a seasonal screen that reinforces key guidelines and information for staff.

Creative communication in action
The highly visible messages ensure that important information reaches users in a way that is difficult to overlook, complementing traditional communication channels such as email or internal announcements. Future designs are already planned for other periods, such as the autumn holiday.

A model for other organizations
The SAM School Group's approach is a great example of how organizations can unlock additional value in their print environment by putting users first and thinking creatively about communication.
By combining the power of uniFLOW Online with creative, user-focused communication, the school has improved the overall user experience while reducing support workloads.
